Important details:

    Under most circumstances, we cannot schedule out rental events more than 12 months in advance.

      The rental application must be submitted 10 weeks in advance of the event date. Earlier is better!

        Each application is evaluated on a case by case basis

          Non-refundable deposits are required for most rentals. Deposits are counted toward the final cost.

          Rental FAQs

          How do I get food for my private event?

          The Majestic concessions can be open for your event by request. Your concessions purchases are another way to support us! The host can run a tab for their guests’ purchases. Or, guests can pay their own way. To provide alternative food needs, the Majestic works with Gettysburg College’s award-winning catering service to provide for events at the Majestic. External catering vendors are not allowed. External food and drink are also not allowed to be provided on-site for rentals.

          Is alcohol allowed?

          Currently, alcohol is allowable for private events only. Service must be done by Gettysburg College catering staff.

          Do I need insurance to rent the theater?

          Yes. Insurance is required for all events (public or private). Required coverage(s) are listed in the usage agreement and will be addressed by the rental coordinator in advance conversations. Most individuals can easily obtain the proper insurance through their insurance provider. A copy of the COI must be given to the theater to have on file.

          How many people need to work my event?

          This will be determined in advance conversations with the Rental Coordinator and/or Technical Director. If you are choosing a rental package, the number of workers is specified and static.

          Do you have security?

          As the Majestic Theater is owned by Gettysburg College. Campus Safety may be requested to provide security for your event at additional cost. All security needs will be coordinated by campus safety only.

          How much does it cost?

          For pricing inquiries about rental packages, please contact the Rental Coordinator. Other event rentals will require an estimate to be generated based off of the rental application.

          When can I advertise my event?

          For private events, the clearance to announce your event will be given once a deposit has been received. For public events, clearance to announce your event will be given once a deposit has been received and our staff has all the information it needs to launch. Please do not advertise until given explicit clearance is given.

          Who manages my event?

          As the person renting our spaces, it is up to you to manage your event in coordination with the guidelines established with the Rental Coordinator. If you need additional help managing or planning you event, those services are available for an additional charge.

          Am I guaranteed my event date?

          Once a rental application is received, a hold will be put on that date while the review process occurs. If the event moves forward, that date will be continue to be held until a final agreement is signed and the deposit is received.

          What is the best way to get my rental application approved?

          Many factors dictate whether or not we are able to take on a rental event. Being able to provide as much information as possible with your application is always a huge help! When in doubt, earlier is better.

          I’m not sure if your spaces are right for my event. Can I do a site visit?

          You can schedule a free 45 minute site visit with the rental coordinator – pending availability. A completed application form must be received before a site visit is conducted. This will ensure that the rental coordinator will be able to appropriately speak to the options available to you!

          None of the rental packages seem to fit my needs. Can we do something else?

          We can craft most events to meet your needs. Please inquire with the Rental Coordinator.

          I would like to use our own ticketing system. Can we do so?

          All ticketing needs to be controlled through the Majestic Theater Box Office so that we have a full accounting of the event for our records.

          I may need help marketing my event. What services do you offer?

          Your success is our success! The bulk of marketing falls on the renter of the spaces. For public events, the Majestic Theater Marketing Director can offer certain complementary and fee-based assistance.
